Our client situated near Bagshot, Surrey is actively seeking an experienced capable Office Manager to assist their team for a 9 Month Maternity Cover period – Starting May 2020. Potential of extension to 12 Month duration. This is an exciting opportunity to work with an established organisation that is presently experiencing a period of rapid growth. The Office Manager will be responsible for organising all of the administrative activities that facilitate the smooth running of their Head Office.
Reporting to :- Managing Director
Provide Administrative support to the Senior Management Team
PA duties to Managing Director; diary management, preparation of internal and external presentations, minute taking and office communications
First point of contact for all visitors and deliveries
Assist HR administrative procedures :- organisation of interviews, coordination of recruitment process; issuing new employee contracts, induction and on-boarding of new starters, holiday and sickness records
Update personnel files in line with data protection legislation
Liaise with outsourced HR Specialist
Work with line managers to arrange staff training and development as required
Ensure timely processing and submission of payroll
Develop and implement new administrative systems
Regular checking and ordering of office stationery ensuring competitive pricing and consistent stock
Maintain the condition of the office arrange for necessary repairs, maintenance of both office building and equipment
Organise company events (Christmas Party, Staff Social Events)
Manage office refreshments – board meetings etc.
Update health & safety training matrix ensure all staff receive relevant training
